WCC Meeting Notes from February 10th
Present: Sonya, Philip, Arifin, Colin, Brigitte, Forbes, Diane, Paul, Jan, George
We had lots of laughs and high energy. It feels like good progress is being made. There are lots of things to look after, so we encourage everyone on this list to keep involved. The notes below represent a distillation and only touch on the decisions made, not on the full range of interesting and animated discussion!
The discussion focused on the following Agenda Items:
1 Venue
2. Invitation letter
3. Introductory/Selection meeting March 9
4. Committee membership
5. Media
6. Website
Next meeting will be Saturday February 17th, back at UVic Fraser law building room 142.
1. Venue
Althought the venue needs to be decided upon asap, we decided not to hold up the invitation letters. We therefore agreed on the following dates:
March 9 (7-9 pm) Intro/Selection public meeting
March 30/31 Wisdom Council
March 31 (4-6 pm) Public Meeting after WC
We heard reports from Diane, Jan and others about initial inquiries into venues for the WC and associated meetings.
BCGEU - not available on Mar 30/31 and expensive.
City Hall - Sonja Chandler is looking into availability in response to an email from Caspar
We brainstormed a number of possibilities, and decided to make further inquiries at the following (we can still use further ideas):
City Hall
Norway House
UVic
Oaklands
Fairfield community centre
2. Invitation Letter
A draft has been circulated by email. People at the meeting had further suggestions and we've decided to continue drafting the letter based on suggestions that it be split it into two pages and made more visually appealing. We also decided to include a copy of the Monday magazine article from November to give the letter more context/ legitimacy. We also need to design a return postcard for the RSVP. The letter etc was handed over to the communications committee (see below). A somewhat final version will be circulated to this entire list.
3. Introductory/Selection meeting
We decided to have this meeting on March 9th, rather than March 5, to allow more time for the random selection process and venue selection.
Diane kindly volunteered to look after refreshments. We decided that cookies and juice would be much easier than coffee or tea.
-- Venue still needs to be decided - the Quaker meeting house is a possibility and we've made a formal application.
-- There are lots of outstanding Logistical details: how are people chosen for the WC (cards with names, numbers, how to decide which person in household gets on committee, etc), who does what -- chair the meeting, present the info on the WC process. We want to make the meeting be energizing and filled with enthusiasm.
4. Committees
The Random Selection committee is humming along and has 80+ names selected from the phone directory.
It was decided that the envelopes should be hand addressed to improve the chances of being positively received. The plan is to mail out the invitation letters to selectees by February 18.
The communication committee consists of Paul, Colin, Arifin, and George
Media committee consists of -- Paul, George with graphics support from Arifin, and media support from Bernard
5. Media
Media outreach is vital and urgent. George is working on an initial press release based on all the good work of other folks, and will involve those on communication/ media. We have photos of the random selection committee at work.
6. Website
Needs to be updated with links to our wiki www.wisedemocracyvictoria.wetpaint.com
7. Site for ongoing organization meetings.
George will look into UVic again and a formal request has also been made to the Quakers to see if we could hold our meetings there on a consistent basis.
