2007-June-16 WC2 Planning Notes
Present: Yvonne, Paul, Anke, Brigitte, Dan, Robert, Diane, George, Sherryll.
Action items in bold
1. Venue
- The Wisdom Council itself will take place at the Fernwood NRG (Community Centre), 1240 Gladstone Ave.
-Anke will check dishes, cups and other logistics there.
2. People in the Wisdom Council room:
- Deanna and the other co-facilitator
- Paul: researcher
- Brigitte: videographer (or audio if councillors veto videoing) – who will bring audio equipment, just in case?
- Diane: support person for wheelchair-bound councillor.
There will be no in-and-out privileges for anyone other than the councillors and the above 5 people with specific roles so as to maintain a safe container for the Council. Also, we don’t want to outnumber the councillors.
3. There will be a short debriefing with the councillors, chaired by Paul, over coffee after Sat.’s dinner before they head to New Horizons.
4. Friday June 22nd and Sat. June 23rd logistics.
Rides:
- Brigitte will pick Deanna up from the Clipper and will keep her engaged until we meet at the Fernwood Inn at 4:30 p.m. (the pub and restaurant ARE open) – Deanna will stay at Sherryll’s for the 2 nights;
- Brigitte will find out which councillors need a ride to the FNRG, and will assign who will pick up whom;
- Arifin gave people rides last time – are you able to help?
- Yvonne will pick up Pat Rose.
Flipcharts:
- Dan will arrange for 4 flipcharts.
Food:
- Anke will coordinate food and drink.
Needed are volunteers to prepare: coffee, tea and snacks for Friday evening, Sat. mid-morning, Sat. lunch and Sat. at 4 p.m.;
- George will ask Jan to bring muffins;
- Brigitte will bring the coffee from home;
- Jan, is there tea left over from last Wisdom Council? If not, can you buy some?
- Anke will order sandwich tray for Sat. lunch with some no-diary items for lactose-intolerant councillor;
- anyone have 2 table cloths they can bring – and maybe some flowers?
- Robert and Anke will do set-up for potluck Sat.;
- Dan will be the gofer.
Saturday dinner:
- Paul: broccoli-casserole (dairy);
- Anke: potato salad;
- Brigitte: green salad;
- Yvonne: a salmon;
- Diane: chicken tray;
- Robert: vegetarian chili;
- Paul: bread
- who can bring dessert and snacks?
- who can clean up at FNRG after the dinner but before the public meeting?
Public meeting
- Dan will facilitate;
- George, Anke will be at New Horizons at 6:30 p.m. for set-up and to make coffee;
- Brigitte, Sherryll will staff the greeting table at the door;
- George will bring materials for the greeting table;
- someone to write up agenda on flipchart sheet;
- someone to go and make 100 copies of the statement from Wisdom Council 2 between 4 p.m. and 6:30 p.m. – George will do it if no one else can;
- who can help with clean-up? – we have to be out by 9:30 p.m.

Media:
- as we had no media points person for Wisdom Council 2, we are all asked to work for a good turn-out by spreading the word to our contacts. Also:
- Anke will send ad to Newsgroup and will take out a paid ad in Monday Magazine (since we missed the “Calendar” deadline);
- Anke will send ad to Times Colonist Thursday “Go” section;
- George -> CBC community calendar.
5. Dynamic Facilitation workshop
A 3-day workshop is planned on southern Vancouver Island for the end of October. We are encouraged to enroll and support Jim Rough’s paid work. Cost between $500 and $700.
6. Convener debriefing
Meeting at 1831 Fern St. on Tuesday June 26th at 7 p.m.
A convener celebration (picnic or potluck) is suggested sometime in the next few weeks (Brigitte away after July 16th).
7. Councillor debriefing with Paul will be scheduled for a week or 2 after the Wisdom Council. Anke will book the FNRG upstairs room.
